Makes Cross-Departmental Collaboration Easy
Likeliness to Recommend
What differentiates Google Drive from other similar products?
Google Drive is integrated into the Google Suite of applications. It organizes Google Docs, Google Sheets, image and video files, PDFs, etc. and makes it easy to grant internal or external access to each. We leverage this resource externally to provide branding guidance and resource access to our dealers and partners, and the access controls allow us to control which resources or assets are up-to-date. It's extremely intuitive, takes very little onboarding to use, and increases the efficiency at which we collaborate across our teams.
What is your favorite aspect of this product?
For each file type, I can quickly identify who can access the file and the level of access that the role can have (view-only, comment-only, full editing access). In addition, I can identify the access level for the full organization, as well. For example, if I have an FAQ document for an upcoming campaign, I can set specific individuals to have full editing access, while the rest of the company can have view-only access. In this way, the teams supporting our customers can stay informed while those who are closer to the project can adjust the information as needed. It makes cross-departmental collaboration possible with a RACI model.
What do you dislike most about this product?
The way that the files are named definitely matters. Folders can be established for files, and access to the individual file can change based on the access controls set to the folder it's in. If you have an understanding that the specific folder exists, it's helpful when locating an individual file. However, if you do not have an understanding of how a department has organized its files, then the search options for the file type seem limited to what the file was named. Sometimes, it takes awhile to find what you are looking for.
What recommendations would you give to someone considering this product?
If you are rolling this tool out across teams, it may be worthwhile to elect a small group to recommend a consistent nomenclature to use. It would help when searching for individual file types, especially when it's quite possible for a library of resources to grow exponentially large. Another option could be establishing a shared drive that has a consistent folder system with the shared access already set for easy resource sharing.
